Car Hire Costs: Deposits, Excess and Fuel Policies
Compare the rental you will actually collect, not just the daily headline price. Separate charges you expect to pay from a refundable deposit or temporary card hold.

Compare the same rental period and location
Use identical pickup and return times when comparing offers. Check the supplier, vehicle category, transmission and passenger and luggage capacity. A vehicle described as “or similar” is a category booking rather than a promise of a specific model.
Confirm the collection address. An airport desk, shuttle-served depot and city office can involve different travel times. Check whether the desk will be open when you arrive and whether any out-of-hours charge applies.
Separate rental cost, deposit and excess
The rental price is the charge for the booking and included services. A security deposit is money held or collected under the supplier’s conditions. The excess is the amount you may be responsible for under the applicable damage or theft terms. These are different figures.
Check the deposit amount, accepted card type, cardholder requirements and release conditions. If you buy separate reimbursement cover, do not assume that the rental company will reduce its deposit or waive its own excess.
Read the fuel, mileage and extra-driver rules
- Fuel policy and any refuelling service charge
- Included distance and the price of extra mileage
- Extra-driver, young-driver or other stated surcharges
- One-way return fees if returning elsewhere
- Charges and permission rules for the route you plan
Only add extras you intend to use, then compare the final total. Check whether a child seat, navigation device or extra driver is included or charged separately. Requirements depend on the supplier and booking.
Use a collection and return checklist
Read the rental conditions and bring the documents and payment card the supplier requires. At collection, inspect the car, record existing damage and check fuel and mileage against the paperwork.
At return, follow the agreed location and timing, keep any fuel receipt and ask for a return record where available. Store your photos and documents until any final charges or deposit release have been resolved with the provider.
Put the checklist into practice
Use the partner search to explore current options, then check the final price and terms on the provider’s website.

Common questions
Is the deposit part of the rental price?
A refundable deposit or card hold is separate from the rental charge. Check the supplier’s collection and release conditions and make sure the required funds are available.
Does additional insurance remove the supplier’s deposit?
Not necessarily. Separate reimbursement cover may still leave the rental company’s deposit and excess arrangements in place. Read both sets of conditions.
